Who is responsible?
Aristeia Academy Ltd, trading as Aristeia Academy Tuition, is responsible for your enquiry information. You can contact us on 07541 915303 or write to 995 Alum Rock Road, Birmingham, B8 2LY.
What we collect and why
We ask for your name, phone number and email, plus each child’s name, school year, school and any course preference. You may add a message. We use these details to consider and respond to your tuition enquiry. Please do not include dates of birth, health or SEND information, financial information or documents.
Our lawful basis is legitimate interests in responding to parent enquiries and arranging suitable tuition. This is not a marketing subscription. We do not use the form for automated decisions or profiling.
Where an enquiry goes
Enquiries are saved in the website’s protected database, using Sites hosting and Cloudflare D1, before receipt is confirmed. Submitted contact and child details are also forwarded through Meta’s WhatsApp Cloud API to Aristeia’s business WhatsApp. Authorised staff use those details to respond. A saved enquiry does not by itself mean a WhatsApp message has been delivered.
These providers may process data outside the UK. Sites does not offer data residency at launch.
Retention and security
The retention period for website enquiry records and delivery metadata is 30 days. Expired records are removed when a new enquiry is processed or the owner runs the protected cleanup procedure. The owner will run cleanup weekly even when no new enquiries arrive. A WhatsApp copy has a separate retention process: the owner must review and delete resolved enquiry messages within 30 days unless they are needed for an ongoing tuition relationship, covered by a separate notice.
To limit abuse, the site keeps a keyed hash of the submitting network address and an attempt count for up to 20 minutes, removed during cleanup. We do not intentionally log enquiry contents or credentials. We have not added analytics or advertising trackers. Sites provides hosting traffic analytics. The enquiry form itself does not use browser storage.
Tutor registrations
When you register an interest in tutoring, we collect your contact details, university and degree information where applicable, training and employment history, applicant-declared qualifications, teaching capabilities, availability, DBS-status and right-to-work declarations, CV and any supporting evidence. We use this information to assess your interest and administer recruitment. Qualifications and declarations remain applicant-declared until checked. Registration does not guarantee an interview or vacancy.
Our lawful basis is legitimate interests in considering suitable tutors and administering recruitment. Please do not include bank details, National Insurance numbers, passport scans, medical information, DBS certificates or criminal-record details. Shortlisted applicants may later be asked for references and further safeguarding, identity and right-to-work evidence. These checks are handled separately.
Applications and documents are stored privately in Sites application hosting, using Cloudflare D1 and R2. Resend is used for transactional recruitment emails: an authorised Aristeia recruitment inbox receives your application and documents, and you receive an acknowledgement. These providers may process data outside the UK. We do not use recruitment email for marketing or enable open or click tracking.
For unsuccessful applications or where there is no current opportunity, we retain the application and documents for up to six months from the last recruitment-related contact, then delete them unless a specific lawful reason requires longer. We do not add you to an indefinite talent pool. Keeping your information longer for future roles would require a separate explicit choice. The same retention review applies to copies in our recruitment inbox and email provider.
